An ocean file is a long thread, not a transaction
An ocean enquiry rarely arrives complete. It gives you a port pair, a rough readiness date and a container count. It leaves out the gross weight, the HS code or the incoterm. Somebody reads it, works out what is missing, and writes the email asking for it before pricing can start.
Then there is the sailing. Your customer wants the first vessel after a date. You want the one that will arrive. Sea-Intelligence put global schedule reliability at 62.6% in June 2026, and the average delay on vessels that arrived late at 5.31 days. A schedule is a proposal, not a fact, and the person who quoted it is the one who explains it six weeks later.
The rate has an expiry date for the same reason. Drewry reassesses its World Container Index every week across eight major East-West trade routes. The composite stood at $4,473 per 40ft container on 27 August 2026. A quote written on Monday is a different quote by the following Monday. The documents with deadlines
Maersk’s published guidance says the dates on its own dashboard are guidelines, set earlier than the final deadline that is shown on the booking confirmation document. The date your coordinator works to and the date that binds are not the same. The verified gross mass has its own clock. Under SOLAS regulation VI/2, in force since 1 July 2016, the shipper must state the verified weight in the shipping document, and that weight is a condition for loading a packed container onto a ship. Miss it and the box does not sail.

The cost of a late update lands at the end. When a box sits, demurrage and detention accrue, and the invoice arrives long after anyone can reconstruct what happened. In the United States the Federal Maritime Commission’s billing rule sets a thirty-day issuance deadline, and failure to comply eliminates any obligation of the billed party to pay the charge. Rules like that only help a team that still has the thread and the dates.

The two jobs look similar from outside and are not. An ocean freight forwarder buys space shipment by shipment, against contract rate cards, a carrier rate or an agent’s reply. An NVOCC or consolidator commits to allotments, issues its own bill of lading and builds boxes from several shippers. The commercial risk is different, and so is the email around it.

The objections we hear most
Ocean is not express. Can a quote really go out in minutes?
The mode is not what makes a quote slow. Where the rate sits in your own rate cards or can be read from the carrier, nobody has to be waited on. Where a lane has to be priced by another agent, the wait belongs to whoever is answering. The worked example above states both cases in full.
We move FCL and LCL on the same lanes. Does the container type matter?
It matters to the quote, not to the reading. What is on the enquiry drives the task. FreighAI spots what is missing in an enquiry and drafts the email asking for it. On an LCL enquiry that is usually the dimensions and the gross weight. How a box is built and co-loaded is the NVOCC page, not this one.
Our sailing and status information lives in carrier portals, not in a feed.
