What is in it

What the three months include

Seven parts, in this order. The programme is the distance between the first count and the last.

  1. The before count

    Week one, both of you there. Twenty real enquiries: quotation TAT, hands per quote, enquiries per person, and how many quotes had a mistake in them. A notepad is enough.

  2. Your data in

    Rate cards, agent lists and your margin rules where they are written down. The first lane is agreed on the day, and it is usually the one that hurts most.

  3. Leak one, on the first lane

    Every agent on that lane emailed in one go instead of three or four by hand, chased, and the replies priced. Your pricer approves what goes out. Each session looks at what was wrong and why, and it gets fixed in front of you.

  4. Leak two, once the wins come in

    The job is confirmed and your selling price is fixed. That is the moment nobody ever gets to, because it is ten parallel negotiations per quote. This is the part three months buys you that ninety minutes cannot.

  5. The rest of the desk, and the hand-off

    Quoting spreads from one pricer to the whole desk, and a won quote becomes a job without anybody re-typing it. We check the numbers halfway, so week twelve holds no surprise.

How to measure it tomorrow morning
In week one, take 20 real enquiries. Write down when each one arrived and when the quote went out. Add up the 20 gaps and divide by 20. A notepad is enough. In week twelve you do exactly the same thing, on 20 fresh enquiries.
Why it matters to you
Your customer asked three or four forwarders at the same time. The first sensible quote usually wins. Every hour your quote waits is an hour a rival can use.

An example, in round numbers
  1. A pricing desk of four people gets 20 enquiries a day. At one to two hours each, that is 20 to 40 hours of quoting a day.
  2. Where the rate can be fetched without waiting on a person, the same quote goes out in 10 to 15 minutes. The four people check and approve instead of typing.
  3. You do this sum twice on your own enquiries. Once in week one. Once in week twelve. Nobody has to take our word for it.

Where a lane has to be priced by another agent or over the phone, the wait belongs to whoever is answering. The tool still writes the request, chases the reply and turns it into a priced quote when it lands. We count those lanes on their own, so no average fools anyone.

  • The session is about your work, not our slides. You will see FreighAI, because that is the thing you are putting your hands on, and at the end we will tell you plainly what is free and what is paid. Nobody is obliged to buy anything.
  • One to one means one company at a time, not one person. Bring anyone else from your firm who should be there, as long as this is the right programme for their job. You are never in a room with another company.
  • Applying is not the same as being accepted. Every session is run by a person, on your own work, so places are limited and there are conditions — the programme has to be the right one for your role, and we have to be able to help.
  • Applications are read in the order they arrive. We get more than we can take at once, so there is usually a wait for a date. You will be told where you stand, and you will hear back either way.
  • Both of you come to every session. That is the one thing we ask.
  • You work on your own data. It stays in your own space and nobody outside your firm and our team ever sees it.

Who is in control

The worry we hear most: what if the AI misbehaves, and do I have any control? Here is the honest answer, part by part.

What always waits for a person?

Every message a customer sees waits for a person. The agent does the work, creates a task, and notifies the person to sign it off. Quotes, counter-offers, tracking answers, anything a customer reads.

What can the person do at the sign-off?

At the sign-off, the person can edit the message, approve it, or reject it. It is an editable panel, and that is the point of it. Every version of a quote is kept, and the line that changed is shown.

Whose name goes on it?

An approved message goes out in the person’s own name, with their own signature, from their own email. No customer ever sees that AI works behind it.

What runs on its own, and under whose rules?

Autonomy is set per task type: supervised, where a person signs, or automatic. Every message a customer sees is locked to supervised. Chasers, reminders, tracking checks and quote expiry can be set to run on their own. The rules and timing for chasers and reminders are set by the head of operations or an admin. Quote expiry rules are set by the pricing executive. Chasers and reminders can be switched off for one customer or one lane.

Who decides who may approve what?

Role-based access control: the admin decides who can see, edit and approve what, role by role. A junior desk can be allowed to draft and not to send.

So what does 85% mean?

The 85% is effort taken out of the cycle: the reading, fetching, drafting and chasing. A person still signs every customer-facing message.

What is not there yet?

There is no pause switch yet for one customer, one lane or the whole company. Today the person at the sign-off is that control: nothing a customer sees goes out without a person. Such cases are the exception. There is no automatic margin floor yet. Today it is the staff’s job at the sign-off to keep a quote above the margin. Automatic floors are planned.

Three months is a real commitment. Here is what the two of you are worried about.

These are the eight things owners and heads of operations say to us after an earlier programme. The idea is good and the diary is full. None of them is silly. Each one shaped how these three months are built.

  • Three months is a lot. We cannot both be in every session.

    Take the fetching and typing off one lane

    Pick the lane with the most fetching in it. Rate cards in, agent lists in, margin rules in. Drafts start appearing on that lane only. The rest of your desk carries on unchanged while you watch.

    Split deciding from fetching

    Go through each touch you counted. Which one needed a person to decide? Which one was just fetching, copying and typing? The second kind moves to the tool. The first kind stays with your people.

    Widen to the next lane and the next desk

    Once the first lane is boring, the second is quick. The rules and the rate sources are already in. Then quoting spreads from one pricer to the whole desk, and the hand-off into operations comes next.

Turnaround time. Here it means the time from an enquiry landing in your inbox to your quote leaving it. Forwarders use the short form, so we do too.

Why do both of us have to come?

One of you decides and the other one runs the work. When only one comes, the change stops at the edge of that person's desk.

What does it cost?

The cost is not fixed yet. The plan is free to join and pay only for the AI you use. Whatever it turns out to be, it is agreed in writing before the first session.

Is there a smallest size?

There will be a smallest volume for entry, set from what the first assessments show. It is not decided yet, so no number appears here.

Will this disturb how we quote today?

Not all at once. We take one lane at a time, and the rest of your desk works as it does now. Your team approves every reply before it sends. Nothing leaves your company unless one of your people has read it and said yes.

What happens to our data?

It stays in your own space. Nobody outside your firm and our team ever sees it, and nothing of yours is ever published or shown to another company.

When does it start?

The date is at the top of this page. Apply and we confirm your place by email before it starts. If the programme is full, you are first in line for the next one.

What if it does not work for us?

Then the write-up says so, and says what got in the way. A record that could only ever end well would not be worth keeping.
