You do not move the parcel. You answer for it.

Your business is the spread. You negotiated the volume yourself, you sell that capacity under your own name, and you keep the gap between your account rate and the price on the quote. A rate-negotiation guide published in May 2026 describes how those agreements work: a discount against a published tariff, improving as volume crosses agreed thresholds, with a minimum volume and a penalty for missing it.

So the day opens on enquiries, and an express enquiry is a race nobody agreed to enter. A shipper emails four or five providers in the same minute, and the answer that lands first very often wins. Quoting jumps the queue every morning.

What never lands on your desk is the parcel. The Global Express Association, whose members are DHL Express, FedEx and UPS, describes what its carriers do in five steps. They pick up the shipment. They clear it for export. They transport it. They quickly clear it through customs. They deliver it to the recipient with tracking. Not one of those five is yours. What is yours is everything they generate in writing.

The five middle steps are the Global Express Association’s own description of what its carriers do. The two ends are your day.

An express enquiry without the weight, the dimensions, the contents and the value cannot be priced. The carrier bills on a weight it decides, and customs sorts the consignment by what it is worth: the World Customs Organization sorts express traffic into four categories, from documents up to high value consignments on a full declaration, on a threshold that is national.

Then the price splits in two. On a lane you hold on your own account, the rate sits in a portal somebody has to open in another tab. On a lane you do not, you are writing to an agent with better negotiated volume, and waiting.

Then the invoice, and it does not wait for month end. DHL Express tells its own account holders they will be issued invoices daily. Every line is keyed by waybill, account and ship date, and carries a billed weight, a weight code saying how that weight was reached, and whatever charges were added. Somebody has to read each line against the job before it is booked.

On an ordinary Tuesday, one express desk mailbox is holding all of this at once:

  • enquiries missing the weight or the value,
  • agent replies for the lanes you do not hold, and the ones still owed,
  • counter-offers from customers who were quoted by four other people,
  • booking confirmations going out and pickup chasers going back,
  • “where is my parcel”, asked again every morning,
  • a carrier invoice with lines that do not match what you quoted, and
  • your own invoices, with the payments behind them that have not come.

None of that is in the carrier’s portal, and none of it is in the system where you keep your records. It sits in the mailbox between the two.

What changes

The network keeps the parcel. FreighAI takes the mailbox.

Where the rate can be fetched without waiting on a person — a carrier API, a portal read in the background, or your own uploaded rate cards — a priced quote goes out in 10–15 minutes instead of 1–2 hours. That holds for ocean and air just as it does for express; the mode does not change it.

The work starts the moment the enquiry lands, in whatever shape it arrived in. FreighAI works out what each email is and what it needs, then takes the action that message calls for. Then the price. FreighAI suggests a price from what that customer paid on that lane before, within your margin rules. Every version of a quote is kept, and the line that changed is shown. The spread stops depending on who was at the desk late on a Friday.

A won quote becomes a job on its own, fully filled in. Work passes from pricing to operations to accounts with the email and everything it found attached. Nobody forwards it, re-keys it or asks for an update. Here that is pricing, then the carrier account, then the customer, then accounts.

Which parts would an express desk switch on first?

What happens to one express enquiry

The second workflow on most express desks is not a workflow at all. It is a spreadsheet open beside the carrier’s billing portal, and the line that costs you money is usually the weight.

The carrier can bill on the weight you declared or the one it measured itself, and the line says which.

Does FreighAI go anywhere near our carrier account or our rates?

No. Rates are read through your own credentials, against the rates you negotiated. Nothing is resold, nothing is marked up, and no relationship with the carrier is held on your behalf. Stop tomorrow and the account is as you left it.

We do not hold a key account on every lane. Does this still work?

Where a lane has to be priced by another agent or over the phone, the wait belongs to whoever is answering — not to the software. FreighAI still writes the RFQ, chases the reply, and turns whatever comes back into a priced, margin-checked quote the moment it lands. What changes is that the request goes out complete the moment the enquiry lands, and the quiet ones are chased.

Our margin is the whole business. What stops a quote going out too cheap?

FreighAI suggests a price from what that customer paid on that lane before, within your margin rules. Every version of a quote is kept, and the line that changed is shown. Your team approves every reply before it sends. The real risk is a price nobody can explain a month later.

Do you book the shipment, print the label or clear the goods?

No. The carrier’s network does all of it. FreighAI works on the writing around those steps. If a demonstration suggests otherwise, ask which system performed the step.

Which carriers can FreighAI read rates from today?

DHL, FedEx and UPS, each through your own account credentials. Gmail, Outlook and WhatsApp are connected on the enquiry side. No other connection is claimed.

We sell Aramex as well. What happens to those lanes?

Plenty of express businesses hold an Aramex account beside the three. The carrier rate connections FreighAI has today are DHL, FedEx and UPS. A lane priced from any other account, or by an agent, is handled the way every partner-priced lane is.

Does FreighAI file the dispute with the carrier?

No. It reads the invoice, finds the line that does not match the job, and drafts the dispute with the waybill and the difference set out. Filing stays in the carrier’s own billing portal, with the reason code and case reference it issues.

Do you file customs entries for express consignments?

No, and no filing connection is claimed. The declaration, its category and its filing stay where they are today. FreighAI handles the query and the document chase around them, which on express traffic is short and constant.

How long before the first workflow is live?

We scope the first workflow, integration requirements and implementation plan with your team. A date offered before anyone has seen your mailboxes, your accounts and your approvals is a guess.
