Running CargoWise? Keep it, or move on.
Keep your TMS for the records. FreighAI runs the work around them.
CargoWise presents broad quote-to-invoice, multi-mode, documentation, carrier, compliance, warehouse and accounting capabilities. Keep all of that and FreighAI takes over the email work around it. Or move on from it and FreighAI becomes your main system. Either way the boundary is made explicit before anything starts.
Every email your company receives is read, understood and turned into a task for the right person, with the answer already drafted. Your team approves. Nobody lives in the inbox any more.
- 01There are two ways in, and this page covers both. Keep CargoWise, which holds the jobs, documents, compliance records and accounts, and add FreighAI around it. Or move on from it and make FreighAI your main system.
- 02FreighAI is about the email work around CargoWise: the enquiries, rate replies, carrier bills, tracking questions and chasers that still arrive in inboxes and are re-keyed by people.
- 03FreighAI reads that email and does the work behind it: the rate, the carrier check, the customer’s history, the chase, the hand-off to the next department. Then it drafts the reply and puts a task in front of the right person. They approve. They do not compose, forward, file or chase.
- 04Carrier-invoice reconciliation is the worked example on this page; quotation is the second candidate.
- 05What FreighAI can read from or return to CargoWise is decided in discovery for your setup. If CargoWise already handles a workflow well for your team, keep using it.
A mature CargoWise operation is not an empty starting point
CargoWise’s current forwarding material covers quotations, rates, bookings, documents, milestones, customer updates, carrier connections, accounting and audit-oriented controls. “Add AI” is therefore too vague to be a project.
The real opportunity usually appears in the way work enters or moves around the platform, and it almost always enters as email. A customer request arrives in an inbox. A carrier document needs interpretation. A finance team needs to check invoice differences against job information. Each of those begins with a person opening a message, working out what it is and deciding who should deal with it.
Some of that work is already handled well by the current CargoWise configuration. Some involves manual hand-offs the team has never configured inside the platform. The first task is to tell the difference.
Ask:
- Which work is already handled well inside CargoWise?
- Which work still starts or finishes in an inbox?
- Which record must remain authoritative?
- What decision needs a prepared reply and a task rather than another dashboard?
- Multi-mode jobs, bookings and milestones
- Documents, declarations and traceability
- Carrier connections
- Costs, invoicing and financial control
What FreighAI can read from or return to CargoWise is decided in discovery for your setup.
What would FreighAI change?
Even in a well-configured CargoWise operation, a large part of the day still arrives as email: enquiries, rate replies from agents, booking confirmations, “where is my cargo?” messages, carrier bills and payment chasers. Someone opens each one, works out what it is, finds the information, writes the answer, passes it on and remembers to chase. The inbox does nothing to help.
FreighAI takes over that inbox. It watches every company mailbox, pricing, operations, tracking and accounts, and follows each conversation from start to finish. It works out what each email is and what it needs, then takes the action that message calls for. It writes the reply, creates the task, and puts it in front of the right person in the right department, beside the original conversation. Your team approves. They do not compose, forward, file or chase. The reply goes out in their name. What FreighAI reads from CargoWise, and what returns to it, is the piece discovery has to define.
- 01Carrier invoice arrivesIn different formats, usually by email.
- 02Read and matchedLine by line, to the agreed CargoWise job context.
- 03Differences become a taskFor the finance person who owns them.
- GATEApprovalNothing is booked until they decide.
- 05Agreed hand-offWhether the result returns is decided in scope.
The email is only the start. The real time goes on what comes after it. Find the rate on the carrier’s site. Check the tracking in another tab. Open the TMS for the job. Look up what you charged this customer last time. Forward it to operations and wait. Chase the agent, or forget to. FreighAI does all of that itself. It pulls your rate cards, checks the carrier, looks up the customer’s history, reads the shipment status, and talks to your TMS or accounting system. It chases what has not come back. It passes the work from pricing to operations to accounts, with the email and everything it found attached. Nobody forwards it. Nobody re-keys it. Nobody asks for an update. Then it puts the finished piece in front of the right person, with the reply already written.
Your people work in FreighAI. Not in the inbox. Not in five browser tabs. CargoWise keeps the record.
Consider carrier-invoice reconciliation as the workflow to test. Carrier invoices arrive in different formats, usually by email. FreighAI reads a carrier bill and matches every airway bill back to its job, checking line by line before it is booked. Differences and missing records become a task for the finance person who owns them, with the invoice and the job context side by side. Nothing is booked until they decide.
For a CargoWise operation, the implementation cannot stop at that general capability. It must determine:
- which invoice and job references are available;
- how the relevant CargoWise record is identified;
- which fields may be compared;
- what constitutes a match, difference or missing record;
- which cases require a finance or operations decision;
- whether an approved result returns to CargoWise or remains a controlled hand-off; and
- how failures and duplicate records are handled.
None of those exchanges is assumed to be available in every environment. They are the questions that turn a useful product area into a safe CargoWise workflow.
We scope the first workflow, integration requirements and implementation plan with your team.
Quotation is the second candidate, and it is where the email engine shows most:
- the enquiry nobody has opened yet
- the missing detail
- the agent who has not replied
- the customer who pushes back
CargoWise already presents rate, margin and quotation capability, so the reason to test this is not a missing feature. It is the legwork still done by hand around the platform. Where the rate can be fetched without waiting on a person — a carrier API, a portal read in the background, or your own uploaded rate cards — a priced quote goes out in 10–15 minutes instead of 1–2 hours. That holds for ocean and air just as it does for express; the mode does not change it. Where a lane has to be priced by another agent or over the phone, the wait belongs to whoever is answering — not to the software. FreighAI still writes the RFQ, chases the reply, and turns whatever comes back into a priced, margin-checked quote the moment it lands.

The carrier bill checks itself against the job.
Carrier invoices arrive in different formats, usually by email. FreighAI reads a carrier bill and matches every airway bill back to its job, checking line by line before it is booked.
- Reads the billMatches every airway bill back to its job.
- Checks line by lineBefore anything is booked.
- Differences become a taskFor the finance person who owns them, with the invoice and the job context side by side.
Keep CargoWise, or move on.
You can keep the system you run today and add FreighAI around it, or move on from it and let FreighAI be your main system. Start with pricing and operations either way, and add the rest when you are ready.
Keep CargoWise. Add FreighAI around it.
CargoWise stays the operating platform. FreighAI takes the email work around it: the enquiry nobody has opened, the carrier bill waiting to be checked, the agent who has not replied.
- CargoWise keeps the multi-mode jobs, bookings and milestones.
- CargoWise keeps the documents, declarations, traceability and the accounts.
- FreighAI reads pricing@, operations@, tracking@ and accounts@ and hands each thread on as a named task.
- Carrier-invoice reconciliation is the first workflow to test, and quotation the second.
- What FreighAI reads from or returns to CargoWise is written down for that one workflow.
Move on from CargoWise. FreighAI becomes your main system.
If CargoWise costs more than it earns for a business your size, FreighAI can be your main system instead. Begin with pricing and operations, then move the accounts across. Some things still have to live somewhere else.
- The quoting screens. The enquiry is read, priced and answered on the thread it arrived on.
- Job and booking records, created for you when a quote is won.
- Tracking updates for the customers who reply to the last email rather than open a portal.
- Carrier invoice checking, and the payment chasers that follow it.
- The day-to-day accounts and the invoicing behind them.
- Customs filing. FreighAI does not lodge declarations or look up duty, so that stays with CargoWise or your broker.
- Statutory books. Bank reconciliation, accruals and provisions belong with your accountant.
- Warehouse and fleet management, if your operation runs them inside CargoWise today.
- The carrier connections, and the portal your customers log in to. FreighAI answers the ones who email you.
- How long have you run CargoWise?
A recent go-live is a reason to keep it. The training is fresh and the spend is already made. A platform you have carried for years is worth costing again.
- Do your people work inside CargoWise, or in email around it?
Time one ordinary week. Work that starts and ends in CargoWise screens argues for keeping it. Work that starts in an inbox and is typed in afterwards argues for the second door.
- What would you give up?
List what only CargoWise does for you: declarations, the books, the warehouse, the carrier links. Each of those has to sit somewhere. A long list means keep it.
- What should you ask about your contract and your data?
Put three questions to your CargoWise account manager first: when the term ends, what notice is required, and how your own data comes back to you.
On its own, FreighAI runs your enquiries, quotes, jobs, tracking replies, carrier bills, payment follow-ups and your accounts. FreighAI does not file customs declarations. It treats customs as a service provider or agent, and your team adds and updates the filing details by hand.
Which FreighAI parts are relevant to a CargoWise team?
Invoice Reconciliation
FreighAI reads a carrier bill and matches every airway bill back to its job, checking line by line before it is booked. Relevant when invoice intake and difference investigation still take manual work around job records. The demonstration must show the bill arriving by email, the match, and the exception reaching the responsible person as a task.
Quotation Agent
Relevant when inbound RFQs still move through email, messages or documents before the accepted work reaches the operating system. FreighAI spots what is missing in an enquiry and drafts the email asking for it. It emails all your agents for a lane in one go, with the route and charge lines filled in, then chases the ones who do not reply. It suggests a price from what that customer paid on that lane before, within your margin rules. CargoWise already presents rate, margin and quotation capabilities, so quotation is not claimed absent. The reason to test FreighAI is a specific input, action or hand-off the buyer wants handled differently.
Booking and Job Orders Agent
A won quote becomes a job on its own, fully filled in. Whether that job starts in FreighAI, is handed to a person or is exchanged with CargoWise is exactly the boundary discovery must show. CargoWise continues to own the shipment record once it exists there.
Tracking and Payment Collection
FreighAI answers “where is my cargo?” on the customer’s own thread, from carrier status, for approval. Follow-ups, chasers and reminders happen on their own, on the same conversation. Relevant when that communication still happens outside the authoritative records. Each workflow needs its own supervision and data boundary.
A narrow, well-owned workflow is more credible than claiming that a broad CargoWise operation needs a second version of everything.
What stays in CargoWise, what can FreighAI add and what must be scoped?

This table is deliberately asymmetric. CargoWise is the broad operating platform in this buyer situation. FreighAI must earn its place through the email work that still happens around it, not through a feature-count contest.
The objections we hear most
CargoWise already does a lot of this. Why add another platform?
You should not add one merely because AI is fashionable. The honest test is whether the work still starts and moves in email: an enquiry nobody has opened, a carrier bill waiting to be checked, an agent who has not replied. That is the work FreighAI takes over. If CargoWise already handles the workflow well for your team, keep using it.
Will we create two sources of truth?
The workflow must not leave that ambiguous. CargoWise can remain authoritative for the job, shipment, document or financial record. FreighAI holds the conversation, the task and the drafted reply. The scope names where the accepted result belongs and how it gets there.
Will our people have to work in two places?
They should not maintain the same record twice. Your people work in FreighAI for the email work, approving replies and clearing tasks, and CargoWise keeps the record. Where a person completes the final hand-off into CargoWise, that responsibility is visible rather than disguised as a connection.
Do you make us throw CargoWise out?
No. You can keep the system you run today and add FreighAI around it, or move on from it and let FreighAI be your main system. Start with pricing and operations either way, and add the rest when you are ready. On its own, FreighAI runs your enquiries, quotes, jobs, tracking replies, carrier bills, payment follow-ups and your accounts. Customs filing and the statutory books stay in CargoWise either way.
Is every CargoWise connection already supported?
No universal technical claim is made. What FreighAI can read from or return to CargoWise is stated for the selected workflow, with its objects, direction, authentication, frequency and limits documented. A future CargoWise integration page must pass that evidence gate separately.
How do we stop this growing into another transformation project?
One workflow, one accountable owner, one measurable result. Document what CargoWise retains, what FreighAI reads and drafts, who approves and what happens when the connection fails. Expand only after the first operating model is accepted.
Common questions
Can FreighAI be my main system instead of CargoWise?
On its own, FreighAI runs your enquiries, quotes, jobs, tracking replies, carrier bills, payment follow-ups and your accounts. FreighAI does not file customs declarations. It treats customs as a service provider or agent, and your team adds and updates the filing details by hand. Declarations and the statutory books stay in CargoWise or with your broker and your accountant.
Can FreighAI run without connecting to CargoWise first?
Potentially. FreighAI reads the mailbox, drafts the reply and creates the task without needing CargoWise to do so. Whether the first workflow can stay standalone depends on whether it would create conflicting records.
Can FreighAI read from and write to CargoWise?
The answer must be stated for the selected workflow and supported environment. This page intentionally does not promise generic read/write capability. Technical copy follows once the supported operations and limits are confirmed.
Which workflow should we test first?
Choose a recurring burden that still arrives by email and is not already solved well in the current configuration. Invoice reconciliation is one candidate; inbound quotation, booking hand-off, tracking or collection may suit another operation better.
Does FreighAI make decisions without our team?
Your team approves every reply before it sends. Your team approves. They do not compose, forward, file or chase. The reply goes out in their name. Other workflow actions must show their specific supervision and exception rules rather than relying on a general AI claim.
Where do we compare CargoWise with FreighAI?
Here. The buyer already owns CargoWise, so a separate FreighAI-versus-CargoWise page would misstate the relationship and duplicate the decision. Technical connection detail belongs on a separate integration page for CargoWise, once it is evidence-ready.
