Running Fresa? Keep it, or move on.

Keep your TMS for the records. FreighAI runs the work around them.

Fresa Gold and Fresa Global carry a whole forwarding business: enquiry to quotation, job to manifest, invoice to ledger, plus warehouse and HR. None of that is in dispute here. Two questions are: what FreighAI adds if you keep Fresa, and what changes if you move on from it.

Every email your company receives is read, understood and turned into a task for the right person, with the answer already drafted. Your team approves. Nobody lives in the inbox any more.

  1. 01There are two ways in, and this page covers both. Keep Fresa and add FreighAI around the mailboxes, or move on from Fresa and let FreighAI be your main system.
  2. 02Fresa freight forwarding software is a full ERP, not a partial one. Fresa Gold and Fresa Global publish modules for quotations, jobs, bills of lading, receivables, payables, warehouse stock and HR, with India GST and TDS and UAE VAT already handled. Nothing on this page argues for moving off it.
  3. 03Its AI is genuine, and this page names that before making any case. Fresa Global publishes AI copilots, a plain-question search across the system, payable invoices extracted and booked without typing, and Auto Docs producing a document the moment a field is edited. Fresa Technologies also carries an ISO 42001:2023 AI Management System certificate awarded by INTERCERT.
  4. 04The unsolved part sits earlier than any of that. It is the message nobody has filed yet. A quote request sitting in pricing@ with no gross weight. A cross-trade agent who has gone silent. A customer who mails your team rather than opening the tracking portal.
  5. 05Those messages are what FreighAI works on. Each conversation is followed, the price is assembled, the silent agent is nudged, and a named person in pricing or operations opens a task with the answer already written. Approving it is their whole part.
  6. 06Turning an arriving enquiry mail into a quotation, blasting one lane to every agent and chasing the quiet ones, and drafting the counter-offer are not described in Fresa’s published material, checked September 2026. That gap is the subject of this page.
Your day, as it is now

Your Fresa system already holds the record

A forwarder running Fresa may already have the operational record covered end to end. Fresa Gold is published as a web-based ERP for freight forwarders, NVOCCs, IATA cargo agents, transporters and couriers. Its Quotations module builds a quotation, mails it to the client from that same screen, and turns a confirmed quote into a booking or job with one click. Its Documentation module produces the manifest, the bill of lading and the job profit statement. Its Accounts module holds receivables, payables, the ledger, VAT, GST and TDS.

The AI story is real too. Fresa Global publishes AI copilots, payable invoices extracted and booked without typing, milestone triggers, and Auto Docs, where editing one field produces the document and delivers it to the right inbox. Its India page lists GST and the ICEGATE EDI interface. Its UAE page lists VAT EDI, the Dubai Customs commercial invoice and bill of entry follow-up, and there is a separate page for MPCI filing to the National Advance Information Centre. Breadth like that is an argument for drawing a careful boundary. It is not an argument that Fresa is old.

None of what follows reaches Fresa until somebody puts it there by hand. A quote request drops into pricing@ or WhatsApp with no gross weight, so a coordinator types out a question. Four agents get mailed for one cross-trade lane, and two of them are remembered on Friday. The quote gets built, then re-sent on Thursday because the customer said nothing. An operations person copies a booking confirmation off the screen and into the job. Somebody in accounts opens a carrier bill and walks down it against the shipment.

Fresa is straightforward about where its own tools pick up. All Enquiries logs each sales enquiry received from a customer. Workflow Management shows a task dashboard indexed by task number and subject. Both are useful, and both begin at the moment a person has already read the mail, worked out what it wants, and keyed something in.

  • Which quote requests arrive by mail or WhatsApp before Fresa holds anything?
  • How many of your team touch one thread before the job is created?
  • Which chasers still depend on somebody remembering on a Friday afternoon?
Where each part sits
THE MAILBOXESWhere the work turns up

pricing@, operations@, tracking@, accounts@ and WhatsApp. The quote request, the agent’s rate, the booking confirmation and the carrier bill all turn up here first.

THE AGENT LAYERWhere FreighAI does the work

Follows each conversation right through, assembles the price, nudges the silent agent, writes the answer, and puts a finished task in front of one named person.

FRESAWhere the record lives

Quotations, jobs, documentation, accounts, warehouse and the books stay in Fresa Gold or Fresa Global, with its portals, its EDI and its regional filing.

The record sits at the bottom, untouched. The conversation is handled above it. Scoping decides what crosses between them.
Three layers. The mailboxes on top, where work actually turns up. The agent layer in the middle. Fresa underneath, holding what it holds today.
What changes

What would change with FreighAI?

Fresa carries on holding every record it holds today. What moves is who opens the mail. FreighAI watches every company mailbox, pricing, operations, tracking and accounts, and follows each conversation from start to finish. It works out what each email is and what it needs, then takes the action that message calls for. It writes the reply, creates the task, and puts it in front of the right person in the right department, beside the original conversation.

Answering is rarely the slow part. The slow part is everything a coordinator does before answering: the carrier screen, the tariff, last year's rate for this customer, the Fresa job, the agent who has to be nudged again. FreighAI talks to carriers, portals, your TMS and your accounting system itself. Nobody hops between websites to put an answer together. Follow-ups, chasers and reminders happen on their own, on the same conversation. Work passes from pricing to operations to accounts with the email and everything it found attached. Nobody forwards it, re-keys it or asks for an update.

Your people work in FreighAI. Not in the inbox. Not in five browser tabs. On this path Fresa is still the record. There is a second path, and it is set out below.

Two ways in

Keep Fresa, or move on.

You can keep the system you run today and add FreighAI around it, or move on from it and let FreighAI be your main system. Start with pricing and operations either way, and add the rest when you are ready.

Keep Fresa. Add FreighAI around it.

Everything above this section describes this door. Fresa holds what it holds today, and the agent layer sits on top of the mailboxes.

What this looks like
  • A quote request lands in pricing@ with no gross weight, and the question goes back the same hour.
  • One lane goes out to every agent at once, and the silent ones are nudged that afternoon.
  • A named pricer opens a task with the price already assembled, and signs it off.
  • The customer who mails instead of opening the Fresa tracking portal gets a drafted answer.
  • A won quote builds the job, and the agreed hand-off puts it into Fresa.

Move on from Fresa. FreighAI becomes your main system.

The other door means fewer systems to pay for and learn. FreighAI does the work and keeps the record, so there is one system to work in rather than two. Pricing and operations come first, and the rest follows when you are ready.

What you stop using
  • All Enquiries and the Quotations module, including its approval workflow.
  • Jobs, sub-jobs and the shipment record, which FreighAI builds from a won quote.
  • Tracking questions from customers who mail your team instead of logging in.
  • Vendor invoice checking against the shipment, and chasing customers who have not paid.
  • Sales invoicing and the day to day accounts.
What you still need somewhere
  • Customs and regional filing: the ICEGATE EDI interface, VAT EDI, the Dubai Customs paperwork and MPCI. FreighAI does not file declarations.
  • GST, TDS and VAT returns and e-invoice submission, which stay wherever they are filed today.
  • The warehouse. Goods in to goods out stays in Fresa, or moves to Binsy, the FreighAI warehouse product, which runs together with FreighAI.
  • HR and staff records, which Fresa holds and FreighAI does not.
  • The self-service tracking portal, for the customers who do log in to it.
  • Statutory books. Ledger, ageing, multi-currency and credit control stay in Fresa or with your accountant.
How to decide
  1. How long has Fresa been in?

A Fresa Gold or Fresa Global set-up that went live recently is usually worth keeping. One that people have worked around for years is worth costing both ways.

  2. Where does your team actually sit all day?

In Fresa screens, or in mail and WhatsApp with Fresa as the place things get typed afterwards? The honest answer points at the door.

  3. What would you give up?

Regional filing, the warehouse, HR and the portal. Name the person or the system that picks up each one before anything moves.

  4. What does the paperwork say?

Ask your vendor two things, before you decide rather than after. What is the notice period, and how do you get your own history out in a usable form?

On its own, FreighAI runs your enquiries, quotes, jobs, tracking replies, carrier bills, payment follow-ups and your accounts. FreighAI does not file customs declarations. It treats customs as a service provider or agent, and your team adds and updates the filing details by hand.

The parts you would use

Which parts of FreighAI would a Fresa team use?

Quotation Agent

The quote request comes in on mail or WhatsApp, in whatever state the customer sent it. It spots what is missing in an enquiry and drafts the email asking for it. It emails all your agents for a lane in one go, with the route and charge lines filled in, then chases the ones who do not reply. It suggests a price from what that customer paid on that lane before, within your margin rules. When the customer pushes back on price, a counter-offer is drafted and waits for approval.

Booking and Job Orders Agent

A won quote becomes a job on its own, fully filled in. A carrier confirmation landing in operations@ turns into an owned task for whoever runs that shipment, instead of a second round of keying.

Tracking Agent

FreighAI answers “where is my cargo?” on the customer’s own thread, from carrier status, for approval. Fresa already publishes a self-service tracking portal for the customers who log in. This covers the ones who mail you regardless, which in most forwarding businesses is the majority.

Invoice Reconciliation

FreighAI reads a carrier bill and matches every airway bill back to its job, checking line by line before it is booked. Fresa Global comes nearest to FreighAI right here, since it publishes payable invoices extracted and booked without typing. Which of the two owns the check belongs in scoping.

Pick whichever one matches the mailbox that hurts. A first workflow does not need the whole set to pay for itself.

One enquiry, start to finish

What happens to one enquiry

Quotation is the natural place for a Fresa team to begin, because the request lands while Fresa still has nothing to hold.

An enquiry arrives. FreighAI reads it, notices the weight is missing and asks for it. It pulls your rate cards, checks the carrier for a live rate, and emails your agents for the lanes you do not hold, then chases them until they reply. It drafts the quote with your margin rules and what that customer paid on that lane last time. Your pricer approves and it goes. It follows up. When the customer pushes back, the counter-offer is already drafted. When the quote is old, it expires. When it is won, the job is created.

Where the rate can be fetched without waiting on a person — a carrier API, a portal read in the background, or your own uploaded rate cards — a priced quote goes out in 10–15 minutes instead of 1–2 hours. That holds for ocean and air just as it does for express; the mode does not change it. Where a lane has to be priced by another agent or over the phone, the wait belongs to whoever is answering — not to the software. FreighAI still writes the RFQ, chases the reply, and turns whatever comes back into a priced, margin-checked quote the moment it lands.

Scoping then settles which approved details belong in Fresa and how they get there. No connection is assumed and no field is promised. We scope the first workflow, integration requirements and implementation plan with your team.

The boundary

What stays in Fresa, what FreighAI adds and what must be scoped?

  1. Jobs and shipments
    Stays in Fresa
House and master shipments, jobs and sub-jobs, consolidation and the routing monitor
    FreighAI adds
Builds the job itself out of a won quote, then hands it across on the agreed route
    Decision required
Which record anchors the first workflow?
  2. Quotations
    Stays in Fresa
The Quotations module, its approval workflow, online quotation requests, and conversion to a booking or job
    FreighAI adds
Every version of a quote is kept, and the line that changed is shown. Quotes expire on their own and can be revived if you want.
    Decision required
Does the approved quote live in FreighAI, in Fresa, or both?
  3. The arriving quote request
    Stays in Fresa
All Enquiries logs each sales enquiry from a customer, once somebody has entered it
    FreighAI adds
Opens the mail or WhatsApp message while Fresa still holds nothing, requests the missing detail, and begins pricing. Not described in Fresa’s published material, checked September 2026
    Decision required
What triggers the workflow, and which mailbox first?
  4. Rates and tariffs
    Stays in Fresa
Charges and rate master, tariff management, carrier tracking for schedules and containers
    FreighAI adds
Reaches your rate card and carrier account directly, puts one lane to every agent at once, and comes back to the silent ones. Not described in Fresa’s published material, checked September 2026
    Decision required
Which rate sources does the demonstration use?
  5. Documentation
    Stays in Fresa
Manifests, bills of lading, airway bill management, invoices and scanned papers per shipment
    FreighAI adds
Reads PDF, Excel, Word, forwarded email, WhatsApp messages, photos and scans. Whatever is attached counts as part of the conversation
    Decision required
Which documents may FreighAI read, and who approves?
  6. Customs and regional filing
    Stays in Fresa
The ICEGATE EDI interface in India, VAT EDI and Dubai Customs documents, bill of entry follow-up and MPCI filing
    FreighAI adds
Nothing at all. Declarations and duty lookups belong to Fresa and stay there
    Decision required
Does the workflow need filing status as context?
  7. Tracking and customer questions
    Stays in Fresa
The self-service tracking portal, milestones, and scheduled status updates sent out to customers and agents
    FreighAI adds
Replies to the customer who mailed instead of logging in, in their thread, from carrier status, for sign-off. Not described in Fresa’s published material, checked September 2026
    Decision required
Who approves the reply, and where is it recorded?
  8. Carrier bills and payables
    Stays in Fresa
Accounts payable, vendor invoice upload and disputes. Fresa Global also publishes payable invoices extracted and booked automatically using AI
    FreighAI adds
Walks the bill against the shipment before anybody books it. Nearest overlap on the page, and stated as an overlap rather than a gap
    Decision required
    Which system owns the check?
  9. Books, warehouse and staff records
    Stays in Fresa
Ledger, ageing, multi-currency, credit control, VAT, GST and e-invoicing, goods in to goods out, HR
    FreighAI adds
Nothing at all. These stay in Fresa
    Decision required
Which approved outputs reach the ledger?
  10. Where your team works
    Stays in Fresa
Fresa screens, dashboards, portals and the mobile app, plus a task dashboard indexed by number and subject
    FreighAI adds
Your people work in FreighAI, not in the inbox. Each conversation sits next to the task it opened, owned by one named person
    Decision required
    Which mailboxes come first?

Read the table as a scoping agenda for your own operation. Every Fresa cell is drawn from its published pages, checked September 2026.

The choice

So which door fits your business?

Both are real. Most forwarders running Fresa keep the ERP, because jobs, documents, the ledger and regional filing already work. Some would rather run one system, and that case is costed on its own merits rather than on a drowning mailbox.

The decision
Start here

Fresa holds your records. What should you do about the inbox?

PATH 01Keep Fresa, add FreighAI around itFresa runs the operation and the mailboxes are the constraint

The usual outcome. Records stay put and the agent layer sits above them.

PATH 02Keep Fresa, prove one workflowOne desk is drowning while the rest copes

Take a single workflow, normally quotation, and touch nothing else in Fresa.

PATH 03Move on from FresaYou would rather run one system than two

FreighAI holds the record instead. The two ways in section above lists what you stop using and what still needs a home.

Three routes. Two leave Fresa untouched. The third is the second door, costed on its own merits.
Fair questions

The objections we hear most

01

“We already bought an AI-enabled ERP. Why add another one?”

Because the two are aimed at different targets, and Fresa's own pages make that visible. Fresa's AI operates on the record: plain-question search across the system, payable invoices extracted, a document produced when a field is edited. FreighAI operates on the message that has not become a record yet. Where your quote requests already arrive as finished tasks with nobody reading them first, there is nothing for us to add.

02

“Will this duplicate what we already have?”

Only if the first workflow is picked badly. Quotations, jobs, documents, ledger and regional filing are Fresa's, and they should stay Fresa's. FreighAI belongs on the parts nobody has automated because they arrive as mail: the request with a detail missing, the agent who has gone silent, the customer who writes instead of logging in. A workflow Fresa already covers well is the wrong place to begin.

03

“Do we have to move off Fresa?”

No, and you are not stuck with it either. On the first path the ERP goes on being the ERP and FreighAI takes the conversation layer above it. You can keep the system you run today and add FreighAI around it, or move on from it and let FreighAI be your main system. Start with pricing and operations either way, and add the rest when you are ready. On the second path Fresa stops holding your enquiries, quotes, jobs, tracking replies, carrier bills, payment chasing and accounts, while filing, the warehouse and HR still need a home. Either way it is your call, argued on its own grounds rather than smuggled in through a mailbox problem.

04

“Is there a finished Fresa connector?”

There is not, and nowhere on this site pretends otherwise. Whatever FreighAI may read from Fresa or return to it gets written down per workflow, naming the objects, the direction, the access and the limits. Fresa does publish EDI and booking endpoints, which is a fair starting point for a technical review, though publishing an endpoint and delivering an integration are different things.

Questions

Common questions

01

Can FreighAI be my main system instead of Fresa?

Yes, for the operation and the money side. On its own, FreighAI runs your enquiries, quotes, jobs, tracking replies, carrier bills, payment follow-ups and your accounts. FreighAI does not file customs declarations. It treats customs as a service provider or agent, and your team adds and updates the filing details by hand. Regional filing, the warehouse and HR still need a home, and the two ways in section above says where each one goes.

02

Does FreighAI work with both Fresa Gold and Fresa Global?

Adoption looks the same either way, since both are the record and FreighAI works above them. Scoping differs. Fresa Global publishes multi-entity control, so a group has to name early which entity and which mailboxes the first workflow covers.

03

Can FreighAI write directly into Fresa?

Only the confirmed scope can answer that, per workflow, and this page will not guess on its behalf. Fresa publishes EDI integration and booking endpoints, so a technical review has somewhere sensible to start. The supported operations and their limits get documented before anything is asserted, on an integration page that does not exist yet.

04

Which workflow should a Fresa customer start with?

Look for work that arrives as mail, gets passed along a corridor, or sits until somebody remembers it. Quotation usually wins because that is where Fresa's published material stops short. For some teams the carrier bill or the tracking mailbox costs more.

05

Will replies to our customers still be checked by a person?

Yes. Your team approves every reply before it sends. What supervision looks like for a given workflow is shown during the demonstration and written into the scope, rather than left as a general assurance.

06

Does our team have to stop using email?

Not at all. Customers and agents keep writing to the same addresses, and Fresa keeps sending its scheduled status updates out. What ends is the habit of living in the mailbox: the thread arrives already read, already priced and already drafted, in the task screen where your team works.

Sources

Fresa publishes testimonials and customer names. None are reproduced here, and no office, founding or funding fact is asserted, because Fresa’s own counters render without values. A line saying Fresa does not describe something means only that its published pages did not, on the date checked.

READY WHEN YOU ARE
